Terms & Conditions
(Revised as of March 8, 2026)
These terms apply to all services provided by Clear Out & Move Easy. Our offerings include, but are not limited to, moving, junk removal, clean-outs, property cleaning, lawn and exterior care, light demolition, and other residential or commercial property services.
1. Payment & Scheduling
Payment is due on the day of service upon receipt of invoice. Clear Out & Move Easy reserves the right to suspend or refuse service if payment arrangements cannot be confirmed prior to completion. By scheduling or receiving services from Clear Out & Move Easy, LLC, the client acknowledges, understands, and agrees to the terms set forth below.
1.1 Flat-Rate Services
All moving services are billed at a flat-rate price, which includes the labor hours, transportation, equipment, and standard moving supplies required to complete the disclosed and agreed-upon scope of work at the time of booking.
Flat-rate pricing is based on:

The client’s inventory list

Photos, videos, or written descriptions provided at estimate
-
Access details (stairs, distance to truck, elevators, narrow paths, etc.)
-
Selected services such as loading only, full-service moving, packing, or additional add-ons
Flat-rate pricing applies only to the scope disclosed and confirmed in writing.
1.2 Hourly Services (Clean-Outs, Non-Flat-Rate Moves, & Packing)

Certain services may still be billed hourly when they do not qualify for a flat-rate price.

Hourly service structure:
-
Hourly Moves and Clean-out services have a 2-hour minimum unless quoted as a flat rate.
-
Local moves and packing services may be billed hourly if they do not meet flat-rate requirements.

Hourly time begins when the crew arrives on-site and ends when work is completed, including load time, travel between locations, and unloading.
-
Service time may also be affected by building policies, elevator availability, parking restrictions, traffic conditions, or other factors outside the company’s control.
1.3 Client Responsibility for Accurate Scope Disclosure
The client is solely responsible for providing complete and accurate information regarding the scope of work. Clear Out & Move Easy, LLC is not liable for delays, increased costs, rescheduling, or incomplete services caused by inaccurate, incomplete, or undisclosed information.
Any additional labor, equipment, materials, disposal fees, travel time, or specialized handling required due to undisclosed conditions will be billed at the company’s standard service rates.
1.4 Additional Charges for Undisclosed or Expanded Scope
If the full scope of work is not accurately disclosed at booking, or if conditions differ materially from what was represented, additional fees will apply. Examples include, but are not limited to:

Stairs or long carries not previously disclosed

Packing required when only loading was reserved

Junk removal or clean-outs not requested at booking

Additional rooms, items, or furniture not included on the estimate

Unsafe, unsanitary, or hazardous conditions
-
Oversized, fragile, or specialty items not disclosed
-
Parking restrictions or access limitations causing delays
-
Any items, areas, or services not listed on the estimate are not included in the quoted price and may be declined or billed as a separate service.
In these situations, Clear Out & Move Easy, LLC reserves the right to:

Issue a revised estimate to reflect the actual scope, or
-
Apply supplemental charges for additional labor, travel time, or materials, or
-
Decline, stop, or reschedule the service if agreement cannot be reached.
1.5 Safety & Operational Discretion
Clear Out & Move Easy, LLC reserves the right to refuse service, halt service, modify the service plan, or reschedule if any condition is deemed unsafe, unsanitary, inaccessible, or materially different from what was disclosed at booking.
This includes but is not limited to:

Animal waste
-
Bed bugs or pests
-
Mold or hazardous materials
-
Structural instability
-
Aggressive pets
-
Blocked or unsafe access points
The safety of our crew and protection of our equipment is a non-negotiable priority.
1.6 Deposits (10% Non-Refundable)
A non-refundable deposit equal to 10% of the total price is required to reserve a service date. This deposit secures the client’s spot on the schedule and reserves a dedicated crew and equipment.
Deposits are non-refundable once the service date is scheduled, as Clear Out & Move Easy commits crew availability, scheduling, and operational resources to the reservation. Deposits compensate the company for lost scheduling opportunities if the service does not proceed as planned and remain non-refundable in the event of cancellations, rescheduling, scope changes, delays originating from the client, or circumstances beyond the company’s control.
1.7 Late Payments

Unless otherwise agreed in writing, full payment is due at service completion.

A $30 late fee applies after 24 hours.

Interest will accrue thereafter at 0.033% per day (12% APR) until the balance is paid in full.

Failure to pay may result in the account being forwarded to collections.

Initiating a payment dispute or chargeback for services rendered is a violation of these terms. Clear Out & Move Easy reserves the right to pursue the full balance, associated fees, and legal costs.

The client agrees to be responsible for any collection costs, administrative fees, or legal expenses incurred in recovering unpaid balances.

Failure to submit payment upon completion of service may result in suspension of work, withholding of items or debris removal until payment is received, and/or cancellation of remaining services.
1.8 Pricing Adjustments
Clear Out & Move Easy reserves the right to adjust service pricing, labor rates, disposal fees, and minimum service charges at any time for future services. Pricing changes do not affect estimates that have already been accepted in writing by the client, provided the scope of work remains unchanged.
1.9 Estimate Validity
Estimates are valid for 24 hours unless otherwise stated and may be subject to change if the scope of work changes.
2. Cancellations & Rescheduling
Cancellations
-
7+ days prior: No penalty if availability permits rebooking. If rebooking is not possible, a 25% cancellation fee may apply.
-
Within 7 days: May incur a 35% cancellation fee.
-
Within 48 hours: May incur a 50% cancellation fee.
-
Same-day or no-show: May be billed 100% of the quoted service.
Rescheduling
-
One complimentary reschedule is allowed with at least 48 hours’ notice.
-
Additional reschedules, or those made within 48 hours, may incur a 25% rescheduling fee based on the original estimate.
-
Clients rescheduling 7+ days in advance may do so at no charge, subject to availability.
3. Liability & Damages
Clear Out & Move Easy takes reasonable care in the performance of all services, including replacing or repairing items when damage is clearly caused by our team.
However, Clear Out & Move Easy assumes no liability for:

Pre-existing damage to property or items.
-
Damages resulting from overweight boxes, unsealed boxes, improperly packed containers, or items packed by the client.
-
Acts of nature, delays due to unforeseen circumstances, or actions by third-party service providers.
-
Cosmetic or structural damage resulting from normal service operations in tight spaces, narrow hallways, staircases, or areas where adequate clearance is not available.
-
Damage resulting from furniture or items that cannot safely fit through doorways, stairwells, or hallways without tight maneuvering.
We are also not liable for damage to:

Fragile, antique, or high-value items.
-
We are not responsible for damage to items made of particle board, pressboard, laminate, or ready-to-assemble furniture due to the inherent fragility of these materials.
Assembly or disassembly of furniture is offered as a courtesy when possible and is performed at the client’s risk. Clear Out & Move Easy is not responsible for internal hardware failures, stripped fasteners, weakened joints, or structural failure of furniture during reassembly.
3.1 Damage Reporting Requirement
Any concerns regarding potential damage must be brought to the attention of the crew leader before the team departs the service location so the condition can be inspected and documented immediately. Our team will make reasonable efforts to inspect the issue, photograph the area, and attempt to resolve the matter on site when possible. Claims reported after the crew has departed may be difficult to verify and may not be eligible for review unless clear evidence demonstrates that the damage occurred during the service. Any formal damage claim must still be submitted in writing with supporting photographs within 24 hours of service completion.
3.2 Pre-Existing Condition Clause
Many items moved or handled during service may have pre-existing wear, scratches, loose joints, weakened fasteners, or hidden structural issues. Clear Out & Move Easy is not responsible for damages resulting from normal handling of items with pre-existing conditions.
3.3 Wall & Surface Protection Clause
While we take reasonable care to protect walls, floors, and surfaces, minor scuffs or marks may occur during normal moving operations in tight spaces and are considered a normal risk of moving large items.
3.4 Electronics & Specialty Items
Clear Out & Move Easy is not responsible for internal damage to electronics, appliances, televisions, computers, or specialty equipment unless they are professionally packed by our team prior to transport.
3.5 Packed By Owner (PBO) Clause
Clear Out & Move Easy is not responsible for damage to the contents of boxes packed by the client or third parties.
3.6 Service Scope Liability
Clear Out & Move Easy provides a variety of services including moving, junk removal, clean-outs, cleaning, and light demolition. Liability for damages, if any, will be evaluated only in relation to the specific service being performed at the time of the alleged incident. Clear Out & Move Easy shall not be held responsible for damage caused by conditions, structural issues, or hazards unrelated to the specific service performed.
4. Removal Services
By engaging our removal services (including junk removal, debris hauling, donation delivery, or similar services), the client confirms they are the legal owner of all items being removed or have full authority to authorize their removal and disposal.
Final charges are based on the actual volume, weight, or number of loads hauled and may differ from the initial estimate.
Once items are placed in our truck, trailer, or removal equipment, they are considered permanently relinquished and cannot be retrieved. Once items have been transported off-site or delivered to a disposal facility, recovery is not possible. After items are removed from the premises, Clear Out & Move Easy assumes no further responsibility or liability for them. The client agrees to indemnify and hold harmless Clear Out & Move Easy from any claims related to ownership, disposal, or removal authorization of the items.
4.1 Client Identification of Removal Items
The client is responsible for clearly identifying all items intended for removal prior to the start of service.
Clear Out & Move Easy will remove only the items or areas designated by the client. If items are grouped together, located in a designated clean-out area, or otherwise represented as part of the removal scope, they will be presumed authorized for removal.
Clear Out & Move Easy is not responsible for the removal of items mistakenly included in designated removal areas or piles. Clients are strongly encouraged to remove or clearly separate any items they intend to keep before service begins.
Clear Out & Move Easy is not responsible for sorting through containers, bags, boxes, or debris piles unless such service is specifically requested and agreed upon in writing.
4.2 Disposal Fee Adjustments
Disposal fees and removal costs may vary depending on landfill rates, material weight, hazardous material restrictions, municipal regulations, or recycling requirements. Final charges are based on the actual volume, weight, and disposal costs incurred at the time of service.
5. Donation Services
Donation deliveries are subject to acceptance by the receiving charity or organization. Items refused become the property of Clear Out & Move Easy, who reserves the right to donate, recycle, resell, or dispose of them at our discretion. Transportation fees are non-refundable, and we reserve the right to reject hazardous, unsanitary, or unsafe items, including those affected by mold, infestation, structural damage, or excessive dirt. Clients agree to indemnify and hold harmless Clear Out & Move Easy, its owners, employees, and affiliates from any claims or liabilities related to the transport or donation of these items.
6. Termination of Services
Clear Out & Move Easy reserves the right to immediately halt or cancel services if we encounter unsafe, hostile, unsanitary, or materially misrepresented conditions on site. In such cases, we may charge up to the full estimated invoice amount to compensate for lost labor, time, and opportunity cost. This includes incidents of harassment, threats, unlawful conduct, or refusal to follow reasonable safety instructions. In such cases, the client remains responsible for travel time, labor time, and any operational costs incurred prior to termination.
7. Unattended Property Policy
If the client requests that services be performed without their presence on-site, Clear Out & Move Easy shall not be held liable for any claims related to lost, missing, stolen, or damaged items, unless there is clear and verifiable evidence of negligence or misconduct by our team.
Clients are encouraged to secure valuables and communicate any special handling instructions in writing before service begins. In the absence of these measures, Clear Out & Move Easy assumes no responsibility for property concerns raised after the fact.
8. General Service Requirements
For all services, the client is responsible for:

Providing clear access to the work area.

Notifying us of any hazards.
-
Ensuring utilities (water, power) are available where applicable.
Vacant Property Requirement (Move-Out Cleanings): For safety and quality assurance purposes, all move-out cleanings must be performed in a vacant property. Clear Out & Move Easy cannot complete move-out cleanings while occupants, inspectors, or other contractors are present. If others are scheduled during the same service window, the cleaning will need to be rescheduled.
Junk removal services may still be completed with occupants or inspectors present, provided safe and unobstructed access is available.
Work may be rescheduled if unsafe conditions exist, including but not limited to inclement weather, unsafe structures, or aggressive animals. Clear Out & Move Easy is not responsible for delays caused by elevators, building management policies, HOA restrictions, or parking limitations.
8.1 Service Window & Weather Delays
Service times may be delayed due to weather conditions, traffic incidents, landfill wait times, equipment issues, or prior job overruns. Arrival windows are approximate estimates and not guaranteed. Clear Out & Move Easy will make reasonable efforts to communicate delays when possible.
8.2 Abandoned Property
Any items left behind after service completion or not specifically identified for retention by the client will be considered abandoned property. Clear Out & Move Easy reserves the right to remove, dispose of, recycle, or donate such items at its discretion.
9. Courtesy Discounts, Referral Rewards, & Giveaway Programs
Clear Out & Move Easy may offer courtesy discounts, referral rewards, or appreciation giveaways at our discretion. To ensure fairness and consistency, the following terms apply:
9.1 Courtesy Discounts

Discounts are available only to eligible clients and may require proof at the time of service.

Courtesy discounts apply only to the remaining balance due at completion and do not apply to deposits or booking fees.
-
Only one courtesy discount, reward, or promotional credit may be applied per job.
-
Discounts cannot be redeemed for cash, applied retroactively, or combined with other offers.
9.2 Referral Program

Referrals must mention the referrer’s name at the time of booking to qualify.
-
Rewards are issued only after the referred service is completed and paid in full.
-
Referral rewards are limited to 23 per referrer per calendar year; additional referrals may receive appreciation credits at our discretion.
-
Rewards hold no cash value and are non-transferable.
9.3 Review-Based Giveaways
-
Review entries must be submitted after service is completed and must be verifiable.
-
One entry per platform (Facebook, Nextdoor, Google) per completed job.
-
Drawings or giveaways are conducted periodically and may vary in timing, frequency, and prize value.
-
Prizes have no cash value and may be substituted with an item of equal value.
-
Winners must be reachable using the contact information on file; otherwise, a new winner may be selected.
9.4 Program Changes
All discount programs, referral rewards, and appreciation giveaways are subject to change or discontinuation at any time without notice.
10. Additional Terms

Force Majeure: We are not liable for delays or non-performance due to events beyond our control, including but not limited to severe weather, road closures, accidents, strikes, or governmental orders.

Photographic Documentation: We may take photos or videos of service areas before, during, or after completion to document condition and service provided. These images are for internal reference and may be used to respond to claims or inquiries.

Legal Fees: In the event of a dispute, the prevailing party is entitled to recover reasonable attorney fees, court costs, and related expenses.

These Terms & Conditions shall be governed by the laws of the Commonwealth of Virginia, and any dispute arising from services provided by Clear Out & Move Easy shall be brought in a court of competent jurisdiction located in Virginia.

These Terms & Conditions are incorporated into all estimates, invoices, and service agreements issued by Clear Out & Move Easy, LLC.

If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
